Schedule: Monday - Friday, 8:00 am to 5:00 pm (Flexible)

Job Summary:
We are currently seeking a highly organized and detail-oriented Scheduling Agent / Scheduling Secretary to join our team in Latin America. If you have strong organizational skills, attention to detail, and are eager to support efficient scheduling and coordination, we encourage you to apply.

Responsibilities:
  • Manage and maintain schedules, calendars, and appointments for team members or clients.
  • Coordinate and schedule meetings, appointments, conferences, and events with internal and external stakeholders.
  • Communicate effectively with team members, clients, and partners to confirm and adjust schedules as needed.
  • Use scheduling software and tools to ensure accurate and up-to-date calendar management.
  • Monitor and prioritize scheduling requests, taking into account urgency and availability.
  • Assist in arranging travel, accommodations, and itineraries for team members or clients.
  • Prepare and distribute meeting agendas, materials, and follow-up communications.
  • Collaborate with other administrative staff to ensure efficient scheduling operations.
  • Contribute to the development and implementation of scheduling best practices.

Requirements:
  • High school diploma or equivalent (Associate's degree or relevant certifications preferred).
  • Excellent written and verbal communication skills in both English and Spanish.
  • Proficiency in using scheduling software, calendar management tools, and Microsoft Office Suite.
  • Previous experience in scheduling, administrative support, or related roles is a plus.
  • Strong organizational and time management skills, with a keen attention to detail.
  • Ability to work independently and collaboratively in a remote team environment.
  • Problem-solving abilities and the flexibility to adapt to changing schedules and priorities.
  • Positive attitude, proactive mindset, and excellent interpersonal skills.
  • Ethical and trustworthy with a commitment to maintaining confidentiality.
