Office Secretary

Location: US Standard Time Zone

Schedule: Monday - Friday, 8:00 am to 5:00 pm (Flexible)

Job Summary:
We are currently seeking a highly organized and detail-oriented Office Secretary to join our remote team in Latin America. If you are a proactive problem solver, an effective communicator, and are eager to contribute to the smooth functioning of our office, we encourage you to apply.

Responsibilities:
  • Provide administrative support by managing schedules, calendars, and appointments for the team.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and messages, with a professional and courteous demeanor.
  • Assist in organizing and coordinating virtual and in-person meetings, conferences, and events.
  • Prepare and edit documents, reports, presentations, and other materials as needed.
  • Manage virtual filing systems to ensure documents are organized and easily accessible.
  • Assist in travel arrangements, accommodations, and itineraries for team members as required.
  • Monitor and order office supplies, ensuring well-stocked inventory levels.
  • Assist with basic bookkeeping tasks, such as expense tracking and invoice processing.
  • Collaborate with other team members to ensure efficient office operations.
  • Contribute to the development and implementation of office procedures and best practices.

Requirements:
  • High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • Strong organizational and time management skills, with an ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills in both English and Spanish.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Previous experience in office administration, secretarial support, or related roles is a plus.
  • Ability to work independently and collaboratively in a remote team environment.
  • Detail-oriented and proactive with a willingness to take initiative.
  • Strong interpersonal skills and a positive, team-oriented attitude.
  • Flexibility to adapt to changing priorities and learn new skills as needed.
