Office Manager

Schedule: Monday - Friday, 8:00 am to 5:00 pm (Flexible)

Job Summary:
We are seeking a dedicated and adaptable Office Manager to join our remote team in Latin America. If you are a resourceful problem solver, an excellent communicator, and are passionate about creating an organized and efficient work environment, we encourage you to apply.

Responsibilities:
  • Oversee day-to-day office operations, including managing administrative tasks, organizing schedules, and ensuring a productive and positive work environment.
  • Coordinate and manage appointments, meetings, and conferences for the team, handling scheduling conflicts and changes with ease.
  • Assist in travel arrangements, accommodations, and itineraries for team members when required.
  • Serve as a central point of contact for both internal teams and external partners, addressing inquiries and routing communications appropriately.
  • Maintain office supplies and equipment, order new supplies as needed, and manage relationships with vendors.
  • Collaborate with the HR team to support employee onboarding, offboarding, and engagement initiatives.
  • Prepare and edit documents, reports, and presentations with a keen attention to detail and accuracy.
  • Manage virtual filing systems, ensuring documents are organized and accessible for the team.
  • Assist with basic bookkeeping tasks, such as expense tracking and invoice processing.
  • Contribute to the development and implementation of office policies and procedures.
  • Identify opportunities for process improvements and efficiency enhancements within the office.

Requirements:
  • High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • Strong organizational and multitasking skills, with the ability to manage competing priorities effectively.
  • Excellent written and verbal communication skills in both English and Spanish.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Previous experience in office administration, administrative support, or related roles is a plus.
  • Ability to work independently and collaboratively in a remote team environment.
  • Demonstrated problem-solving abilities and a proactive approach to tasks.
  • Strong interpersonal skills and a friendly, approachable demeanor.
  • Flexibility to adapt to changing priorities and willingness to learn new skills.
